Terms & Agreements

The Terms & Agreements section — inside the Settings tab, available to senior managers and administrators — lets you publish your own documents that every team member must read and accept before they can use the platform. This is in addition to the TacDesk Terms & Conditions, which are maintained centrally by TacDesk.
TacDesk Terms & Conditions
The top of the page shows the current version of the platform Terms & Conditions. These are managed by TacDesk and cannot be edited here — they are shown read-only so you know which version is in force. Every user is asked to accept them at first sign-in.
Your agreements
Use Your Agreements to add documents such as an employment contract, a data-handling policy, or site-specific rules of conduct. For each agreement you set:
- Title — the name shown to users (e.g. “Employment Contract”).
- Version — a label such as 1.0. Changing the version later re-prompts everyone to accept the new version (see below).
- Require acceptance — when on, the agreement must be accepted before a user can continue. Leave it on for anything mandatory.
- Content — the body of the agreement. Basic HTML is allowed for headings, lists, and emphasis.
Use Edit to change an existing agreement or Delete to remove one. Deleting an agreement stops it being shown to users; it does not erase the consent records of people who already accepted it.
What users see
The first time a user signs in — and again whenever you publish a new version — they are shown an acceptance screen listing the TacDesk Terms & Conditions and every required agreement, each in its own panel with its own tick box. The Accept & Continue button stays disabled until every box is ticked. If a user declines, they are signed out and cannot use the platform until they accept.
Re-acceptance after a change
To require everyone to re-accept an agreement after you have changed its wording, increase its Version (for example from 1.0 to 1.1). Users who already accepted the previous version are prompted again for that document only — they are not asked to re-accept documents that have not changed.
Consent records
Every acceptance is recorded for your audit trail. You can review an individual's history on their profile page, under Consent & Acceptance History — it shows each document, the version accepted, the date, and the device details.
Records are retained even after a user is deleted. The Consent Records — Deleted Users table at the bottom of this page lists those retained records, so you keep proof that a person accepted the terms even once their account is gone.
