SOPs and document library
Updated 13 May 2026
The SOPs tab is your document library — Standard Operating Procedures, company policies, training guides, post orders, and any reference material your team needs. Guards access it from their GuardHub, filtered to what's relevant for their role and site.
Adding a document
Tap Add Document. You can either upload a PDF or write directly in the rich text editor. Give the document a clear title, assign it to a category (Operations, HR, Compliance, etc.), and select its target audience — all staff, specific roles, or specific sites.
Acknowledgement tracking
For documents every guard must have read — a dress-code policy, an escalation procedure, a data protection notice — turn on Acknowledgement required. A button appears in the guard's view once they open the document. Tap the document row to see a live list of who has and hasn't confirmed they've read it.
Audience targeting
Each SOP can be scoped so it only appears for the right people:
- Company-wide — all staff regardless of site, useful for universal policies.
- Role-specific — for example, supervisors only.
- Site-specific — guards at a particular client see this SOP; others do not. Useful for venue-specific procedures.
Publishing updates
When you publish a revised version, guards' devices fetch the new copy on their next sync. If the update is significant, mark it as Re-read required — this resets the acknowledgement status and prompts guards to confirm they've read the new version.
Offline access
Documents are cached on guards' devices via Service Worker after they're first opened. Guards can reference them during a patrol even without a data connection — important for remote or low-signal sites.
How SOPs differ from other content
- SOPs vs Memos — memos are time-limited broadcasts; SOPs are permanent reference documents.
- SOPs vs Site Instructions — Site Instructions are short per-venue post orders on the client record; SOPs are the full procedure library.
