Clients & sites

The Clients tab manages your client and venue records. A client can be a single site or a parent record with multiple sub-sites beneath it — for example, a corporate client with offices across several cities.

Adding a client

Tap Add Client at the top. Enter the client name, address, and primary contact details. To create a sub-site under an existing client, select a Parent client from the dropdown before saving.

Per-client configuration

Tap any client row to open its configuration modal. From here you can set:

  • Operating hours — the site's normal staffed hours, used in scheduling and shift planning.
  • Location & geofence — set the site's map coordinates (and an optional geofence radius). These coordinates power the GPS auto-selection of the nearest site when a guard taps Clock In, so they pick the right venue without searching. With geofencing enabled they also confirm a guard is physically on site before they can clock in. Keep coordinates accurate so auto-selection lands on the correct venue.
  • Check-call schedule — how often guards must check in while on duty at this site (requires Check-calls feature).
  • Capacity limits — minimum and maximum guard numbers for the venue (requires Capacity Tracker).
  • NFC checkpoints — which patrol checkpoints are assigned here (requires NFC Checkpoints feature).
  • Site instructions / post orders — venue-specific guidance that appears on guards' shift cards.
  • Site SOPs — documents specific to this client, shown in addition to company-wide SOPs.

Sub-sites and parent clients

Sub-sites inherit some settings from their parent (such as billing contact) but can override others independently — check-call frequency and operating hours, for example. Reports and rota shifts can be filtered at parent or sub-site level.

Day Occurrence Book (DOB)

The DOB button on each client row opens the Day Occurrence Book — a chronological log of shifts, incidents, and notable events at that venue. Use it to review what happened on any given date at that site.

Archiving a client

When a contract ends, archive the client rather than deleting it. Archiving prevents new shifts being booked to that site but preserves all historical records — reports, shift logs, incidents — for audit and invoicing. Archived clients appear in the archived filter and can be reinstated if a contract resumes.

Searching and filtering

Use the search box to find clients by name or address. Filter by status — Active, Archived, or All — using the dropdown. Reports and shifts throughout the platform can be filtered by the clients you set up here.
