Rota — scheduling shifts

The Rota tab is the weekly shift calendar. Plan and assign shifts, copy week patterns, spot conflicts, and publish to your team — all from one view.
Calendar layout
The default view shows one week, with dates across the top and guards listed down the side. Each cell is a shift card showing the site and shift times. Switch to month view using the control at the top. Use Previous and Next to navigate, or tap Today to return to the current week.
Adding a shift
Two methods:
- Drag-to-create — drag across a cell in the calendar to open the Add Shift modal with the date and guard pre-filled.
- Add Shift button — tap the button at the top right to open a blank modal.
In the modal, select the guard, site, start and end times, and add any per-shift notes the guard should see on their shift card. Tap Save.
Editing and deleting shifts
Tap an existing shift card to reopen the modal. Update any field, mark the shift as cancelled, or use the delete button to remove it permanently. Cancelled shifts remain visible on the rota in a distinct style so the history is preserved.
Copying a week
Tap Copy Week to duplicate the current week's pattern as the starting point for the next week. Edit individual shifts from there. This is the fastest way to build a rota that repeats a regular pattern.
Bulk create
Use the bulk-create option to set up recurring shifts or assign the same shift to multiple guards at once — useful for event staffing or regular site coverage.
Draft vs published
Shifts saved as Draft are only visible to managers. Tap Publish when the week is ready — guards are notified and the shifts appear on their GuardHub. Build the week as a draft first, review, then publish. This prevents guards seeing a half-finished rota.
Conflict detection
The system warns if a guard is double-booked or scheduled in a way that conflicts with existing commitments. Resolve conflicts before publishing.
Filtering the rota
Use the dropdowns to filter by guard or by site. This is useful for large teams — focus on one site's staffing without the rest of the calendar becoming cluttered.
