Holiday settings
Updated 13 May 2026
The Holiday Settings tab configures company-wide holiday rules — how entitlement accrues, which dates are bank holidays, when booking is restricted, and how unused days are handled.
Bank holidays
Set which calendar dates your company recognises as bank holidays. These affect how accrual is calculated and may affect pay depending on your employment contracts. Add or remove dates each year to keep the list current.
Accrual rules
Set the formula that determines how guards build up holiday entitlement — typically a per-month rate based on contracted hours. Configure the annual default here; individual overrides can be made from the staff table below the settings panel.
Blackout periods
Blackout periods are date ranges when holiday requests are automatically restricted — for example, the Christmas and New Year period, or a peak summer event season. Guards can still submit requests during a blackout, but they default to declined unless you manually override. Add blackout periods at the start of the holiday year so guards know when they can and cannot book.
Notice period
Set a minimum number of days' notice required for holiday requests. Requests submitted with less notice than the minimum will be flagged automatically.
Carry-over
If your policy allows guards to carry unused holiday into the next year, configure the maximum number of days here. Days beyond the cap are forfeited at year-end. Set to zero to enforce a use-it-or-lose-it policy.
Per-role overrides
Senior managers and administrators may accrue holiday at a different rate to guards. Configure role-level overrides in the role settings panel to set a different default per role without manually adjusting every individual.
When changes take effect
After you save changes to accrual rules, balances recalculate on the next nightly run. The updated figures appear in the Holiday tab the following morning. Changes to blackout periods and bank holidays take effect immediately for new requests.
