Memos — broadcast to your team

Memos let you send announcements to your team — site updates, reminders, policy notes, shift briefings, or a word of recognition. Guards see memos in their GuardHub when they log in.

Creating a memo

Tap Add Memo. Give it a clear title, then write the body using the rich text editor. Set the target audience, toggle acknowledgement if required, and optionally set an expiry date. Tap Save to publish immediately.

Targeting your audience

Memos can be directed at:

  • All staff — every active guard, supervisor, and manager.
  • Specific roles — for example, all guards on a named site.
  • Specific individuals — useful for sensitive or personal announcements.

Role-and-site targeting is the most common choice — it gets the right message to the right site without spamming everyone.

Acknowledgement-required memos

When you mark a memo as Acknowledgement required, guards see a confirmation button in their view. Tap the memo row in your list to see a live count of who has and hasn't acknowledged. This is useful for policy updates or safety notices where you need a read receipt.

Managing existing memos

The Memos tab lists all your memos with their status, reach count, and acknowledgement tally. Tap a row to edit, re-target, or archive. Archiving removes a memo from guards' feeds without deleting the record.

How memos differ from other communications

  • Memos vs BOLOs — memos are general announcements; BOLOs are watch-out alerts requiring guards to be on the lookout for something specific.
  • Memos vs Direct Messages — memos are broadcast (no reply expected); Direct Messages are two-way conversations.
  • Memos vs Site Instructions — Site Instructions are permanent per-venue post orders set on the client record; memos are time-limited broadcasts.
