Hours Arbitration (BETA)

The Hours Arbitration tab provides a structured workflow for resolving disputes about logged hours — typically when a guard believes the system shows fewer hours than they actually worked.

When to use Hours Arbitration

Use this tab when a guard raises a concern before or during payroll processing — for example: "I worked an 8-hour shift but TacDesk shows 7.5 hours." Common causes include a forgotten clock-out that was auto-closed by the system, a signal issue preventing a clean clock-out, or a genuine data entry error.

What each dispute shows

Each open dispute in the list includes:

  • Guard — who raised or is the subject of the dispute
  • Date — the shift in question
  • Claimed hours — what the guard says they worked
  • System hours — what the clock-in/out records show
  • Evidence — attached notes, GPS records, or witness statements supporting the claim

Resolving a dispute

For each dispute you can take one of three actions:

  • Adjust hours — correct the recorded hours to the agreed figure. The adjustment is applied to the guard's clock history and reflected in the Hours tab and any payroll export.
  • Decline (with reason) — reject the dispute and record your reason. This is logged against the guard's record. Use this when the evidence does not support the claim.
  • Escalate — refer the dispute to a senior manager or administrator for a second opinion before a decision is made.

Audit trail

Every action taken in Hours Arbitration is logged — who made the decision, when, and the reason given. This protects both the organisation and the guard, and provides a record if the decision is questioned at a later stage.

Use cases

  • Payroll cycle reconciliation — clear open disputes before running payroll to avoid holding up pay
  • Edge cases — lost-signal sites where clock-outs fail, shifts at venues with poor connectivity, or unusual circumstances that the automated system cannot account for
  • Fairness — ensures guards have a documented route to raise hours concerns rather than informal disputes
