Guard hours & payroll prep

Senior managers and admins only. The Hours tab is restricted to senior managers and administrators. Managers and supervisors do not have access to this tab.
What the Hours tab shows
The Hours tab gives you a complete summary of every guard's worked hours over a chosen date range. Use it as your primary tool for payroll preparation and client billing verification.
Choosing a date range
Select a period using the presets at the top of the page: This Week, Last Week, This Month, Last Month, or Custom. For payroll, use Last Month or set a custom date range that matches your pay period.
The summary table
The summary table lists each guard with their totals for the selected period:
- Total hours — all clocked time for the period
- Overtime hours — hours beyond contracted hours (where applicable)
- Holiday hours — time recorded as annual leave
- Sickness hours — time recorded as sick absence
Drilling into a guard
Tap or click a guard's row to open their shift-by-shift breakdown for the selected period. Each row in the breakdown shows the date, site, clock-in time, clock-out time, total hours worked, and any notes attached to that shift. Use this view to verify individual shifts before processing payroll.
Filter by client
Use the Group by client filter to see hours broken down by venue. This is useful when you bill clients based on hours deployed — you can verify that logged hours match what you are charging.
CSV export
Tap or click the Export CSV button at the top of the page to download a spreadsheet of all hours data for the selected date range and filters. Import this directly into your payroll system or share it with your payroll provider.
Reconciliation before paying
Before running payroll, scan for anomalies:
- Missed clock-outs — the system auto-closes forgotten clock-outs at end of shift. These are flagged so you can confirm the correct duration before paying.
- Under-recorded hours — if a guard's total looks low, check their shift breakdown and cross-reference with the published rota.
- Unexpected overtime — overtime recorded on shifts not shown in the rota may indicate an unscheduled deployment or a clock-out error.
Correcting a record
If a clock-in time is wrong, navigate to the individual guard's clock history (via the Users tab) and adjust it there. Corrections flow back to the Hours tab automatically — you do not need to edit anything twice.
