Form Builder

The Form Builder lets you design custom report forms tailored to your company's requirements — or to the specific needs of a particular client. Once published, the form appears in guards' Reports tab alongside the standard report types.

Two parts: fields and templates

Form Builder works in two layers:

  1. Custom fields — reusable field definitions that any form template can include. Managers can create and manage fields.
  2. Form templates — complete forms assembled from fields, with sections, ordering, and validation rules. Senior managers and administrators only can create and publish templates.

Creating a custom field

From the Fields tab within Form Builder, tap Add Field. Choose a field type:

  • Text — short free-text answer.
  • Long text — multi-line narrative.
  • Dropdown — pick one from a defined list.
  • Number — numerical value with optional min/max.
  • Date — date picker.
  • Photo — camera capture or gallery upload.
  • Signature — finger-draw signature capture.

Name the field and configure its options. Save — the field is now available to any template.

Creating a form template

From the Templates tab, tap Create Template. Give it a name (e.g. "Daily Site Audit", "Lost Property Report"), add a description, and choose which sites or roles it should appear for. Then build the form by adding fields, grouping them into sections, and setting which fields are required. Tap Publish when ready.

Targeting the form

Assign a template to specific sites or roles so it only appears in the Reports tab for the right people. A "Visitor Sign-in" form might target guards at a corporate client; a "Retail Incident" form might target a different site. Guards at unrelated sites won't see it.

Updating a published form

You can edit a live template at any time. Existing submissions retain their original schema so historic records stay accurate. New submissions use the updated version. There is no need to unpublish before editing.

Useful for

  • Meeting client-specific reporting requirements without resorting to paper forms.
  • Reducing free-text entries by giving guards structured options and dropdowns.
  • Capturing photos and signatures in a single, timestamped digital record.
