Client Custom Forms

Clients can now build their own incident report forms through the Forms tab in the Client Portal, using the same form builder your managers use. This complements the company-wide Form Builder — that tool is for forms your firm designs; this one covers forms a client designs for their own venues.
Who can build a client's forms
Access is controlled by the client portal permission you set for each portal user:
- Full access — can create, edit, and delete the client's forms.
- View access — sees a read-only list of the client's forms, but cannot change them.
How a client's forms are scoped
A client's forms automatically apply to every venue belonging to that client. If the client has more than one venue, they can optionally restrict a form to specific venues using a searchable venue selector — this option only appears when the client actually has multiple venues.
What guards see
Guards clocked in to one of the client's venues see that client's forms pinned at the top of the Reports picker, above the standard TacDesk report types — this is the opposite of the old ordering, where custom forms appeared last. Every form card shows the client's name at the top so guards can see at a glance which client it belongs to.
Guards can also reach forms for other clients they have worked at via the See More button on the Reports tab — useful if a report needs filing after a shift has ended.
Hiding the standard report types
The Show default report types setting controls whether the standard TacDesk report types appear in the inline picker for a client's venues. This is a compliance decision your firm is accountable for, so it is set by an administrator or senior manager — not by the client. You can set it on an individual venue to override just that venue, or on the parent client as the default for all its venues. Even when the standard types are hidden from the inline picker, guards can always reach them via See More — they are never removed altogether.
Your own company-wide forms are unaffected
Any custom forms your firm has built (not tied to a specific client) are unaffected by any of this and continue to appear on every site as before.
Caution — no approval step
A client's form goes live to guards the moment they save it — there is no review or approval workflow before it appears. If you want oversight of what clients are publishing, check in with them directly or review their forms from the client's configuration screen.

Client Custom Forms is a paid-tier feature (Standard tier and above) and is not available on the free plan.
