Site visit report forms

When you depart a site during mobile duty, a report form opens automatically — depending on the visit type you chose on arrival. Each form is short and captures only what is relevant to that type of work.

Which form opens and what it covers

  • Patrol — a patrol report opens: checkpoint scan summary, any issues observed, free-text observations, and the option to attach photos. This is the same form available from the Patrol tab, pre-populated with the visit details.
  • Lock / Unlock — a brief checklist: building secured or opened (depending on visit direction), keys returned, any damage or alarms triggered, and a signature field if required by the client.
  • Inspection — a condition checklist of the site areas you were asked to check, plus an observations field and the option to attach photos.
  • Keyholding — a response log: who requested entry, the reason given, time of arrival, and a summary of what was done or found.

If a visit type does not require a report (for example, a quick welfare check that your manager has set to report-optional), the form is skipped and you return straight to the duty screen.

Filing observations and photos

  1. Complete the checklist items relevant to the visit — tap or toggle each one.
  2. In the Observations field, enter any notes you want on record — damage, unusual activity, access issues.
  3. To attach a photo, tap Add photo. You can take a new photo or choose one from your camera roll. Multiple photos are supported.
  4. Tap Submit report when finished. The report is linked to the site visit record automatically.

You do not need to fill in the site name, visit time, or officer details — these are pulled from the visit record you created on arrival.

Submitting offline

If you have no signal when you tap Submit report, the form saves to your device and uploads automatically when you are back online. A pending badge appears on the report until it syncs. You can continue to the next site straight away — you do not need to wait for the upload to finish.

Photos are included in the queued upload, so make sure you have a reasonable amount of storage free on your device if you expect to file several photo-heavy reports in one shift.

Common questions

Can I go back and edit a submitted report? No — once a report has uploaded it is a locked record. If you need a correction, ask your manager to add a note or amendment from the management side.

What if I accidentally tapped Depart and the form opened too soon? Close the form without submitting; the site visit will show as departed but with no report. Let your manager know so they can check the record.
