Shift reminders
Updated 2 June 2026
TacDesk reminds you about each scheduled shift so you do not miss a start time. Reminders are sent automatically — you do not need to set anything up.
When you will be reminded
- 5 minutes before your shift starts — a single push notification to give you time to get to site.
- At your shift start time — a more prominent reminder if you have not yet clocked in.
- Every minute after the start time — repeated reminders until either you clock in or you tap Dismiss. Reminders stop ten minutes after the scheduled start, at which point the lateness-alert system takes over.
What a reminder looks like
Reminders arrive as a push notification on your phone (you will hear and feel them through Focus / Do Not Disturb because they are sent as time-sensitive on iOS and at maximum priority on Android). If you have the TacDesk app open and have not yet clocked in, you will also see an in-app dialog with two buttons:
- Clock In — takes you straight to the Guard Hub with the correct site already selected and runs the clock-in for you automatically (you may be prompted to confirm your location). This works from 5 minutes before your start time up until an hour after it.
- Dismiss — silences further reminders for this shift only.
If you cannot clock in right now
Tap Dismiss to stop the reminders for that one shift — for example, if you are on your way and unable to clock in yet. Future shifts will still remind you normally.
Stopping reminders for a shift permanently
Clocking in stops the reminders immediately — TacDesk knows you have started work. If a shift has been cancelled or reassigned and you are still getting reminders, message your manager so they can update the rota.
Clock-out reminders (after your shift ends)
TacDesk also nudges you to clock out if you forget. The schedule is:
- 30 minutes after your shift's scheduled end time — a push and in-app modal asking you to clock out.
- Every 15 minutes after that, for up to four hours, until you clock out or tap Dismiss.
Tap Clock Out to jump to the Guard Hub and finish your shift, or Dismiss if you genuinely need to keep working past your scheduled end (for example, you have been asked to stay on). Dismissing only affects that single shift.
Why the reminders are so persistent
Missed shift starts cost clients and damage your standing. TacDesk's reminders are deliberately hard to miss so that an accidental missed alert does not become a no-show. If the volume is genuinely too much for your situation, speak to your manager — they can adjust reminder behaviour at the company level.
Push notifications not arriving?
Reminders depend on push notifications being enabled both inside TacDesk (Settings → Notifications → Push notifications) and in your phone's system settings (Settings → TacDesk → Notifications on iPhone, Settings → Apps → TacDesk → Notifications on Android). The in-app modal will still appear when the app is open, but only push notifications work when the app is closed.
