Reports — overview

The Reports tab is where you file every kind of official report. It is the second tab in the bottom navigation. Reports are legal documents — they may be read by your employer, insurers, the police, or a court. Getting them right, and filing them promptly, matters.
Report types
The standard report types are:
- Incident report — Any unusual event: crime, injury, property damage, suspicious activity, ejections, fights, or anything else outside the normal run of a shift.
- Patrol report — Filed after completing a patrol round. Records which areas you covered and anything you observed or acted on.
- Check-call response — A quick welfare confirmation triggered by your manager or the system. Confirms you are safe and on duty.
- Vehicle defect report — Any fault or damage found on a company vehicle. Only available if your company has the Fleet feature enabled.
- Use of force report — Filed whenever you use physical force on another person, including restraints, ejections, and defensive interventions. Treated as a legal document.
Custom forms
Your company may have built additional report forms — for example a Daily Site Audit, a Lost Property form, or a Visitor Sign-in Sheet. These custom forms appear in the same report type picker alongside the standard types. If your manager has told you to complete a specific form and you cannot find it, check with them — some forms are only available on certain sites or to certain roles.
How to file a report
- Open the Reports tab.
- Tap New Report and select the report type.
- Complete all fields. Your GPS location is recorded automatically when you open the form — you can adjust it if needed.
- Attach any photos using the camera or upload button.
- Tap Submit. You will see a confirmation once the report has been received.
You can also reach report forms from the Quick Actions row on the Dashboard without opening the Reports tab first.
Drafts
If you cannot finish a report in one go, it saves automatically as a draft. Return to the Reports tab and tap the draft to continue. Do not leave drafts for longer than necessary — file as soon as it is safe to do so.
After you submit
Once submitted, your report lands on the management side with a status of Submitted. A manager reviews it and may:
- Approve it — the report is accepted and filed.
- Request amendments — you will receive a notification to open the report and update it.
- Link it to other reports — for pattern analysis (this happens on the management side; you may see a "report group" reference on your copy).
Viewing your reports
The Reports tab lists all reports you have filed. Use the search or filter options to find a report by type, date, or status.
Which report should I use?
Something unusual happened — incident report. You handled someone physically — use of force report (in addition to any incident report). You completed a patrol — patrol report. You received a check-call notification — check-call response. You found a problem with a vehicle — vehicle defect report. When in doubt, file. A report filed unnecessarily is far less of a problem than one that is missing.
