Occurrence book

The Occurrence Book (OB / DOB) is a running narrative log for your shift. Use it to record anything worth noting that does not need a formal incident report — it is the digital equivalent of the handwritten daily occurrence book used in traditional security operations.

What to log

  • Deliveries you signed for on behalf of the client
  • Contractors, visitors, or unexpected persons who attended site
  • Instructions given to you by the client or site manager during the shift
  • Routine observations — a lighting fault, an unlocked door found and secured, a vehicle parked oddly
  • Equipment checks carried out (fire doors, barriers, CCTV systems)
  • Anything you want to hand over to the next guard on shift

For anything more serious — injuries, crimes, use of force, vehicle defects — file the appropriate formal report instead. The occurrence book is for narrative records, not formal incident documentation.

Who can see it

DOB entries are not private. Managers, supervisors, and other guards at the same site can read them. Write as if a manager will read every entry — because they might. The DOB is not visible to the client.

Adding an entry

  1. Open the Occurrence Book tab. It is only visible while you are clocked in.
  2. Tap Add Entry.
  3. Type your note. Be concise and factual: time, place, what happened, what action you took.
  4. Optionally attach a photo.
  5. Tap Save. The entry is timestamped automatically and linked to your current shift and site.

Good entry format: "21:14 — front entrance — Mr Singh (Site Manager) advised that the alarm code has changed. New code is held in the site office. Acknowledged and noted."

Reading previous entries

Scroll up to see entries from earlier in your shift and from the previous guard's shift. Read these at the start of your shift to pick up any handover notes or ongoing issues.

Important notes

  • The DOB tab only appears when you are clocked in. If you need a retrospective entry added, speak to your manager.
  • Entries cannot be edited once saved — this preserves an accurate audit trail. If you made an error, add a new entry noting the correction.
  • This is not the same as Quick Notes, which are private and visible only to you.
