Capacity tracker widget

The Capacity Tracker is a widget on the Dashboard tab that shows the current occupancy of your venue — how many people are inside, how many have left, and what percentage of capacity that represents.

When you will see it

The widget only appears when two conditions are met: your company has the Capacity Tracker feature enabled, and the site you are currently assigned to uses it. If you do not see it, one of these conditions is not met — that is normal.

Reading the widget

• In / Out — the current count of people who have entered and exited the venue during this session or shift period.
• Capacity % — current occupancy as a percentage of the venue's set capacity limit.
• Colour indicator — the widget changes colour as capacity is approached: typically green when comfortable, amber as the limit nears, and red when at or over capacity.

Counting people in and out

If your role involves counting people (for example, as a door supervisor at a regulated venue or event), you may have +In and −Out buttons directly on the widget. Tap them each time a person enters or exits. The count feeds into the management dashboard in real time.

Some venues use a separate counter device or clicker synced to TacDesk — in that case, the widget displays the live count without needing you to tap buttons.

Why capacity tracking matters

• Fire safety: accurate occupancy data is essential for evacuation planning and roll calls.
• Licensing: venues with a premises licence have a legal maximum occupancy. Exceeding it is a licensing offence.
• Martyn's Law / Protect Duty: relevant venues are required to have documented occupancy monitoring procedures.
• Event safety: real-time capacity data helps supervisors manage crowd flow and avoid dangerous conditions.

If the count looks wrong

If the displayed number does not match what you observe (for example, people are clearly leaving but the count is not dropping), raise it with your manager immediately. They can make a manual adjustment from the management side. Do not try to compensate by entering incorrect counts — always flag discrepancies.

At the end of your shift

The same occupancy numbers feed into management dashboards and shift reports in real time. Keeping the count accurate throughout your shift means your manager has a reliable record for the venue log.
